Time to leave manual HR processes behind and make room for HR automation software!

If there’s one thing we’ve learnt working with small businesses over the past 6 years, it’s that time is never enough.

The lack of time is the number-one obstacle to achieving People goals, and manual HR tasks are usually the cause — boring, repetitive processes that suck up all of your time and attention, distracting you from taking care of your team and your business.

That’s why we founded Charlie: to help HR managers automate their HR tasks and get the time, headspace and tools they need to build high-performing teams.

In this guide, we list our favourite HR automation software by taking into account different company sizes, budgets and the specific HR processes you may wish to automate — hope you find it useful!

How to choose the right HR automation tool

Having worked in the HR automation software space for almost 7 years, we know what people love about CharlieHR — but we’ve also learnt that our product it’s not the right fit for everyone.

Our experience has taught us to look at these 2 decision factors when it comes to choosing the right HR automation software:

1) All-inclusive HRMS or specific tool?

Are you looking for an all-in-one HR automation solution to streamline most of your processes? Or are you trying to solve a very specific problem to reduce your HR admin, and don’t care about automating the rest?

Depending on your needs, you may narrow your research to single-feature tools (that, for example, only automate payroll) or focus it on an all-encompassing HR software solution that does it all for you.

2) Scaling your startup or running a big corporation?

Each HR automation tool is targeted at a specific type of company — its range of features reflects the precise needs of a business model or industry. The challenge here is to find your perfect match.

We hope this guide will help you pick the right platform for your type of company,
but before making a decision always ask yourself:

  • Does this platform cover the HR processes I want to automate?
  • Are their current customers similar to my business?
  • Are any of the features offered not a good fit for my needs or culture?
  • Will I continue to be able to afford this platform as I scale?

Best HR automation software for medium-sized businesses

Once you reach the 200 people mark, your HR needs will start to become more complex:

  • Comprehensive reporting will be more prominent, as you’ll no longer be able to keep your finger on the pulse of the company as easily as before
  • Your team will likely be more varied, maybe with people working part-time, which comes with a whole set of new challenges.
  • It’s possible that you may have expanded abroad, meaning your HR automation tools will need to suit local HR legislation and needs
  • And hiring will be on a different scale, so you’ll need more recruitment processes to be automated to ensure the same quality experience

HR automation tools – FAQs

What is HR automation software?

HR automation software is used to carry on tasks that would otherwise be performed manually.

One key characteristic is that hr automation software makes employee self service possible by allowing team members to carry on their own HR admin, without having to pass through the People team. In this case, you can also refer to it as HR self service portals.

What tasks can you automate with HR automation tools?

Repetitive tasks that involve record keeping, calculations and data entry are the most common to be automated via HR automation tools.

But how you decide to automate your HR processes ultimately depends on what type of business you are and your business needs:

  • Small businesses will look for an HR automation tool that can help them streamline their onboarding, time off management and performance review processes, plus potentially something to help reduce time spent on payroll.
  • Bigger companies with more than 200 team members will look for advanced payroll automation and ATS (Applicant Tracking Systems) to scale their hiring.
  • Large, multinational companies will need an intranet and an HR automation tool with advanced reporting functionalities to ensure consistency across the organisation.

Check out these real life HR automation examples for some ideas on how you can supercharge your processes with the right tool.
